Terms and Conditions – Go Mapi Travel Agency

By booking or participating in any tour, trek, or related service (collectively, the “Tour”) with Go Mapi Travel Agency (“Go Mapi,” “we,” “us”), you (the “client”) agree to these Terms and Conditions (the “Terms”). This document constitutes a legally binding agreement between you and Go Mapi Travel Agency.

Please read these Terms carefully, as they contain important information regarding payment policies, cancellation procedures, liability, and other crucial aspects of your travel arrangements. Your booking will not be considered confirmed until you have paid the required deposit and confirmed your acceptance of these Terms.

1. Bookings and Deposits

  • Contract Formation: A contract is formed once Go Mapi Travel Agency receives your deposit and you receive a written booking confirmation from us or from your authorized travel agent. Please review this confirmation carefully and notify us immediately of any inaccuracies.
  • Passport Information: It is your sole responsibility to ensure that all names provided at the time of booking are identical to the names that appear on the corresponding passports.
  • Non-Refundable Deposit: To confirm your booking, a deposit is required. All deposits are 100% non-refundable and non-transferable under any circumstances.

2. Final Payment

Full payment of the remaining balance must be made prior to the pre-tour briefing, which generally takes place the evening before your departure. Accepted payment methods for the final balance include:

  • Cash (USD or PEN)
  • Visa (Credit or Debit): Subject to a 6% processing fee.
  • PayPal: Subject to a 5.5% processing fee.

3. Cancellation Policy

We understand that plans may change. However, since we incur immediate and non-recoverable costs upon confirming your booking, we must adhere strictly to the following cancellation policy:

  • Client Cancellations: All cancellations must be communicated in writing to Go Mapi Travel Agency. The deposit is non-refundable. Additionally, the following fees will apply, calculated as a percentage of the total Tour cost, based on the date we receive your written cancellation notice:
    • Cancellation received 72 hours or less before the start time of the tour: 60% of the total tour cost is due.
    • Cancellation received 48 hours or less before the start time of the tour: 80% of the total tour cost is due.
    • Cancellation received 24 hours or less before the start time of the tour: 100% of the total tour cost is due.
  • No Exceptions: This policy applies strictly and without exceptions. We cannot accept medical certificates or personal circumstances as grounds for waiving these cancellation fees. We strongly recommend that you purchase comprehensive travel insurance to protect yourself against unforeseen events.

4. Passport and Identification Requirements for the Inca Trail and Machu Picchu

  • Passport Validity: You must present the original passport used at the time of booking in order to enter the Inca Trail and Machu Picchu. If you have renewed your passport since booking, you must bring both your new valid passport and a copy of the old passport used for the booking. Entry will be denied if you fail to present the correct documentation.
  • Student Discount: To qualify for a student discount, you must present a valid physical university student card at the time of booking and carry it with you during the trek. The card must have a clearly printed expiration date valid for the year of your trek. The Peruvian government does not accept digital copies or cards with future expiration dates.

5. Inca Trail and Machu Picchu Permit

Permits for the Inca Trail and tickets for Machu Picchu are issued by the Peruvian government in your name and with your passport number.

  • Non-Transferable and Non-Refundable: These permits are strictly non-transferable and non-refundable. Dates cannot be modified once a permit has been issued. If you cancel your tour for any reason, your deposit and permit cost will be forfeited in accordance with government regulations.
  • Inca Trail Closures: In the rare case that the Inca Trail is closed due to safety or other reasons, Go Mapi Travel Agency will offer a suitable alternative trek.

6. Medical Information and Physical Requirements

  • Your Responsibility: You are responsible for assessing whether a Tour is suitable for your physical and mental condition. You must inform Go Mapi of any pre-existing medical conditions, illnesses, allergies, or disabilities at the time of booking.
  • Medical Advice: We recommend consulting with a doctor regarding your fitness to travel, participation in planned activities, vaccinations, and other medical precautions. Go Mapi Travel Agency does not provide medical advice.
  • Medical Certificate: Travelers over the age of 70 must present a medical certificate confirming their fitness for the booked Tour.
  • Pregnancy: If you are pregnant, you must disclose this at the time of booking. Go Mapi may refuse to transport women who are more than 24 weeks pregnant.
  • Right to Refuse Participation: Go Mapi reserves the right to deny your participation in any aspect of a Tour, at any time and at your own risk and cost, if we determine that your physical or mental condition is unsuitable for the trip or poses a danger to yourself or others.

7. Assumption of Risk and Limitation of Liability

By booking a tour with Go Mapi, you acknowledge and agree that adventure travel, such as the experiences we offer, involves inherent risks including, but not limited to, dangers associated with mountainous terrain, remote locations without medical facilities, natural events, and accidents.

You agree to assume all such risks and release Go Mapi Travel Agency, its employees, agents, and partners from any and all claims, liability, costs, or expenses arising from injury, illness, death, loss, or damage to personal property in connection with your participation in the Tour.

8. Itinerary Modifications and Force Majeure

  • Changes by Go Mapi: We will make every effort to operate Tours as advertised. However, we reserve the right to change or modify the itinerary for logistical or safety reasons that we deem necessary for the well-being of participants.
  • Force Majeure: Go Mapi Travel Agency shall not be held liable for failures or delays caused by events beyond our reasonable control (“Force Majeure”). Such events include, but are not limited to, natural disasters, strikes, political unrest, acts of terrorism, extreme weather conditions, or government regulations. No refunds will be issued under these circumstances.

9. During the Tour

  • Guide Authority: The guide’s decision regarding group safety and tour operation is final.
  • Traveler Conduct: You are expected to respect local customs, wildlife, and conduct yourself in a manner that ensures the safety and well-being of the entire group.
  • Medical Emergencies: If you become ill or injured during the trek and cannot continue, a porter will be provided to accompany you back to a location where assistance is available. Helicopter transfers and medical care are at the traveler’s expense. We will prepare a document certifying the illness that you may submit to your travel insurance provider.
  • Personal Property: You are fully responsible for your personal belongings and any rented equipment throughout the Tour.

10. Essential Recommendation: Travel Insurance

Go Mapi Travel Agency strongly recommends the purchase of comprehensive travel insurance. This insurance should cover, at a minimum, trip cancellations, trip interruptions, medical emergencies, emergency evacuation, and loss or damage of luggage. It is your responsibility to ensure that you have adequate coverage for your protection.
